Project Manager
About the Position: The role of the Project Manager is to plan, execute and finalize projects under strict deadlines and within budget. This includes obtaining resources and coordinating the efforts of team members and/or third-party consultants. This position will be responsible for the coordination, implementation, executing, control and completion of specific projects ensuring consistency with the University’s strategy, commitments and goals.

Position Responsibilities:
  • Responsibilities include, but are not limited to:
    • Work with process owners in creating project initiation paper, recommendation papers and closing papers
    • Create and execute project work plans and revise as appropriate to meet changing needs and requirements
    • Identify resources needed and assign individual responsibilities
    • Manage day-to-day operational aspects of a project and scope
    • Complete tasks on time or notifies appropriate person with an alternate plan
    • Review deliverables prepared by team prior to passing over to Portfolio Managers and Steering Committee
    • Prepare and execute project quality assurance procedures
    • Work directly with project team leads and members, identify and document cross-departmental/divisional business processes, role, interactions, business rules, and workflow needs
    • Work independently with process owners in conducting and preparing comprehensive mapping and analysis of business processes under the scopes in project charter
    • Work independently with other functional analysis and related departmental staff in reviewing current process mappings and determine inefficiencies and gaps as well as improvement and integration opportunities
    • Participate in the development of project management policies, processes and procedures and manages the implementation to ensure all relevant procedural/legislative requirements are fulfilled
    • Balance team and individual responsibilities
    • Follow instructions and respond to management directions
    • Research and recommend industry’s best practices based on research and work with analysts and business owners to incorporate them in process recommendations
    • Management of project risk, including preparation and submission of a Risk Management plan, and a risk action plan within the Project Initiation Paper
    • Provide detailed financial analysis (ROI) to support business process recommendations including budgetary impacts
    • Track and report project budgets to directors and management         
    • Ensure project documents are complete, current, and stored appropriately
    • Facilitate team meetings in an effective manner
    • Hold regular status meetings with project teams
    • Keep project teams well informed of changes within the entire Project Portfolio (Program)
    • Report project progress/status to Portfolio (Program) Manager and Portfolio Committee
    • Work with other functional analysts and communicate with end-user regarding project priorities
    • Deliver engaging, informative, well-organized presentations to teams and Project Committee when needed
    • Resolve and/or escalate issues in a timely fashion
    • Effectively utilize each team member to his/her fullest potential
    • Motivate team to work together in the most efficient manner
    • Keep track of lessons learned and share those lessons with team members
    • Mitigate team conflict and communication problems
    • Understand how to communicate difficult/sensitive information tactfully
    • React well under pressure and treat others with respect and consideration regardless of their status or position
    • Possess general understanding in the areas of application programming, database and system design
    • Understand the intricacies of implementing system functions and features with best practices
    • Strong background and experience in multi-systems environment
    • Provide other systems support functions as needed
    • Supervise project analyst(s)
Required Qualifications:
  • Bachelor’s degree in Business Administration, Management, Information Systems or equivalent experience
  • 6 years of experience in all facets of project management and technology training
  • Led large technical projects with successful leadership of application software initiatives, either vended solutions or in-house developed applications
  • Strong leadership, administrative and organizational skills
  • Strong ability in multi-tasking
  • Demonstrated excellence in written and verbal communication skills
  • Resourceful and creative in problem solving with use of excellent judgment
  • Demonstrated ability to effectively translate, simplify and communicate technical information to various, diverse groups of stakeholders
  • Ability to work effectively independently with minimal supervision as well as in various team structures
  • Strong knowledge of MS Office Suite, including MS Visio and MS Project
  • Familiarity with MS Access and MS SharePoint
  • Highly self-driven and self-motivated
Preferred Qualifications:
  • PMP certification
  • Kaizen or Six-Sigma experience
  • 5+ years of experience with IS systems analysis or administration in a higher education setting
  • Experience with Ellucian Banner Higher-Ed ERP system
  • Experience with Facilities Management System
