Secretary Senior
About the Position: This is a full time, 10-month (cyclic), permanent position. The Secretary Senior supports the department of Environmental Studies and the department of Environmental Sciences.

This position is part of a Washington Federation of State Employees bargaining unit. New employees are required to meet the membership requirements of the current collective bargaining agreement within 30 days of employment.

About the College/Department: The Department of Environmental Studies and the Department of Environmental Sciences.
Position Responsibilities:
  • Perform complex word processing tasks
  • Maintain records, correspondence, and documents
  • Gather and complete department quarterly Faculty Office/Class Hours
  • Gather quarterly syllabi from teaching faculty and instructors
  • Process from start to finish Environmental Studies Departmental Scholarships
  • Answer phones, re-direct calls, take messages
  • Check out keys and maintain key inventory
  • Check out and maintain GPS related inventory
  • Assist with faculty, staff, students and general public
  • Sort mail
  • General filing; photocopying
  • Delegate work / projects to work study students
  • Understand and respect confidential matters
  • Scan documents and slides
  • Process:
  • Purchase requisitions
  • Service and reimbursement requests
  • WWU Bookstore purchasing forms
  • Enterprise:
  • Reserve vehicles
  • Prepare Enterprise Purchase Forms
  • Provide instructions for TA’s driving rentals (vehicle pick-up location, keys, etc.)
  • Collect Enterprise rental forms/receipts
  • Maintain faculty and TA driver certification
  • Notify instructors of individual course budget for field trips
  • Maintain a quarterly spreadsheet, monitoring fees and expenditures for each course
  • Verify Enterprise expenses against Banner
  • Initiate corrective action as required
  • Travel Expense Management (TEM) system
  • Copy and printing requests
  • Other WWU electronic and paper forms
  • Requests catering service
  • Request guest parking permits
  • Arrange room reservations
  • Maintain room quarterly schedules for department classrooms (AH14, AH16, AH30, AH221, ES318)
  • Arrange / request technology needs
  • Know and apply department, University and other applicable regulations, rules, policies and procedures
  • Review P-Card purchases
  • Prepare handouts/literature
  • Schedule / invite attendees
  • Takes minutes at department(s) meetings
  • Order office supplies
  • Handle logistics of College meetings, including taking minutes
  • Make travel arrangements
  • Assist with textbooks orders and desk copies
  • Proctor exams when necessary
  • Assist with departmental scheduling
  • Maintain graduate bulletin board and student files
Required Qualifications:
  • High school graduate or equivalent
  • Two years clerical/secretarial experience in a professional or academic setting or equivalent
  • Proficiency with MS Word and MS Excel
  • Strong communication skills, including written and verbal
  • Strong attention to detail
  • Proven self-starter with ability to work independently with minimum supervision
Preferred Qualifications:
  • Familiarity with WWU administration infrastructure (such as Travel, Purchasing, and RSP)
  • Preferred software skills: Banner System, MS PowerPoint, Outlook
  • Experience taking and recording minutes
  • Audio-visual equipment (strong aptitude)
  • Preferred personal and interpersonal skills: Flexibility, Innovative and problem solving approach and a Team player

Salary: New hires typically begin at $2,266/month including an excellent benefit package.
