Office Support Supervisor 1, Speech-Language Hearing Clinic
About the Position: This is a 10.5 month, full-time position. The Office Support Supervisor 1 provides support by supervising office support staff for Speech Language Hearing Clinic, work study students, and office volunteers in assigned clinic operational duties. This position also provides oversight on the day-to-day operations of the front desk office area that support the department units.

This position is part of a Public School Employees of WWU bargaining union.  New employees are required to meet the membership requirements of the current collective bargaining agreement within 30 calendar days of employment.

About the College/Department: Speech-Language Clinic
Position Responsibilities:
  • Oversee assigned daily, weekly, monthly and quarterly clinic office functions which include:
    • Patient prior authorizations
    • Patient intake information
    • Collection of patient payments and co-pays
    • Collection of insurance payments
    • Appeal of insurance decisions (payments and client coverage)
    • Reconcile billing log and Medisoft
    • Preparation of monthly journal voucher to update Banner with Medisoft transactions
    • Maintain client filing system
    • Provide training for students in office procedures
    • Knowledge of WAC, RCS and SAAM relating to clinic operations as well as working knowledge of state and federal laws regarding collection of debts
    • Data entry (charges, payments and adjustments in Medisoft)
    • Maintain parking permit log
    • University cashier deposits (balancing with Banner and CashNet)
    • Monthly billing, coding, and rebilling (insurance and client)
  • Coordinate fiscal operations with Office Assistant 3 and Fiscal Tech 3
  • Review and verify work of staff for procedural compliance and accuracy; investigate discrepancies; correct errors
  • Using outside software support, maintain and upgrade Medisoft as required
  • Reconcile the Clinic Medisoft monthly billing totals with the University accounting system, Banner
  • Reconcile Provider One reports from DSHS and make necessary corrections through the Provider One website
  • Review and authorize monthly reports and write-offs
  • Monitor clinic insurance contracts; monitor and maintain fee reduction paperwork
  • Monitor and review insurance credentialing requests and prepare necessary documentation to ensure providers are current and attested, using both paper and online systems
  • Maintain and constantly update files on clients who have insurance denials and keep clinic director informed of progress of reviews by insurance companies
  • Train staff and insure compliance to all University and Clinic policies and procedures
  • Create new and/or update policies and procedures when necessary
  • Assist in the preparation of periodic fiscal reports
  • Monitor for separation of duties (cash handling, billing, HIPAA)
  • Maintain confidentiality contracts for staff, visitors and student workers
  • Archive clinic files annually
  • With delegated authority, manage all fiscal processes for the dispensing of hearing aids for the Audiology Clinic, including preparation of contracts and maintaining contract and purchasing filing system
  • Provide customer service to clinic clients
  • Provide backup assistance for payroll approvals when needed
  • Other duties as assigned
Required Qualifications:
  • High school diploma or equivalent
  • Two years’ experience as a Fiscal Technician/bookkeeper OR two years’ experience in a medical billing setting; some of which included supervisor responsibilities (supervision of students is not applicable)
  • Experience with medical billing software and monthly accounting reconciliation
  • Experience with collections and monitoring of client aging report
  • History of successful experience in customer service

Associate of Arts Degree, or equivalent, in accounting or business may substitute for one year of required experience except for supervisory responsibility
Preferred Qualifications:
  • Working knowledge of Medisoft or similar medical billing software and/or electronic medical records software
  • Conversation proficiency in Spanish
  • Fifteen quarters or ten semester hours of college-level accounting or bookkeeping
  • Knowledge of Banner
