About the Position: This is a part-time (32 hrs/week) position.  Under the general direction of the Center Director, provides support and assistance for the purpose of facilitating the day-to-day operations of the Advanced Materials and Science Engineering Center (AMSEC).       

This position is part of a Public School Employees of WWU bargaining unit.  New employees are required to meet the membership requirements of the current collective bargaining agreement within thirty calendar (30) days of employment.

About the College/Department: Advanced Materials and Science Engineering Center (AMSEC)
Position Responsibilities:
  • Manage AMSEC budgets; this includes developing budget estimates, monitoring and controlling budget status and expenditures, evaluating costs for the center, tracking fees collected for services, and preparing budget reports
  •  Initiate and process contracts in consultation with the office of Contract Administration
  • Coordinate arrangements for meetings and events
  • Route calls and answer inquiries regarding AMSEC
  • Compile and research data for reports as requested
  • Maintain office files and general records
  • Update the center’s website
  • Coordinate faculty and staff recruitments
  • Provide support services and program advising to undergraduate and graduate students
  • Assist in the development and implementation of policies and procedures
  • Create and input the materials science teaching schedule for the academic year and summer session
  • Initiate and process documents related to purchasing, payroll, budget and events
  • Make travel arrangements for various faculty and visitors
  • Assist the director with external funding opportunities
  • Screen, prioritize and distribute mail
  • Serve as liaison between AMSEC, the campus community, and the greater community
  •  Develop and/or process correspondence between the director and various businesses
  • Assist in the development of promotional materials for AMSEC
  • Perform related duties as required
Required Qualifications:
  • Three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work
  • Proficiency in Excel, Word, and Outlook
  • Expertise with database systems, including development and maintenance of databases
  • Proficiency in performing duties related to secretarial and budget assignments
  • Demonstrated excellent verbal and written communication skills
  • Ability to work independently and to exercise independent judgment
  • Ability to establish and maintain a friendly, cooperative work environment with a wide variety of staff, faculty, students and community members
Preferred Qualifications:
  • Proficiency in the design, development and maintenance of custom websites.
