Program Coordinator, Travel Desk
About the Position: This is a one-year, project-employment position.  The Program Coordinator coordinates the operation of the Travel Program and provides fiscal and program support using independent judgment in the interpretation and application of a variety of rules and procedures and provides resource data for reports.  The Program Coordinator must follow institutional and Office of Financial Management (OFM) and State Administrative & Accounting Manual (SAAM) rules and regulations.

This position is part of a Washington Federation of State Employees bargaining unit.  New employees are required to meet the membership requirements of the current collective bargaining agreement within 30 calendar days of employment.

Position Responsibilities:
  • Manage a high production environment, process high volumes of documents with accuracy
  • Liaison with OFM travel consultants, travel vendors, University staff and faculty
  • Handle all telephone, fax and email inquiries
  • Maintain travel accounts and records; authorize and enter fiscal transactions; compile and prepare periodic statements and reports
  • Assist higher-level fiscal personnel with summary information and analysis of records and reports
  • Prepare, audit, verify and process final documents such as journal vouches, purchase form requests, invoices, reimbursements, advances and travel forms
  • Review all travel related documents including meals/light refreshments, lodging, conference, registration feeds, and mileage; confirm accuracy of travel authorizations and compliance with University policy, state rules and regulations
  • Conduct presentations and travel trainings for University staff; maintain an instructional Travel Manual and update the travel website
  • Receive information daily from current travel agencies regarding approval of airline ticketing
  • Use Microsoft Access to monitor travel agency tickets
  • Attend meetings and/or conferences as program representative
  • Serve as auditor of expenses incurred by travelers on University business; review travel receipts, audit and process travel related paperwork
  • Manage processing of paperwork relating to relocations; reconcile outstanding travel advances; process journal vouchers
  • Review and verify fiscal reports for accuracy; investigate and correct errors to ensure compliance with established procedures and policies

Required Qualifications:
  • High school graduate or equivalent
  • Two years of full-time clerical experience
  • Intermediate level in Microsoft Word, Access and Excel (testing required)
Preferred Qualifications:
  • Extensive knowledge of institutional and state rules and regulations regarding travel
  • Knowledge of Banner Finance
