Curriculum and Records Manager
About the Position: The Fairhaven College Curriculum and Records Manager works as part of a staff team to support faculty and students in curriculum planning and enrollment by providing management in the areas of student registration, maintenance of student on-line portfolios, interpretation and enforcement of credit award policies, production of course descriptions and scheduling courses. This position plays a central role in the curriculum planning process as a member of and primary staff support to the Fairhaven College Curriculum Committee. The Curriculum and Records Manager ensures the College’s compliance with University curriculum proposal deadlines, monitors graduation requirements, provides credit evaluation, compiles Fairhaven students’ supplemental transcripts from narrative assessment data, and maintains accurate permanent student records.

This is a permanent, full-time, exempt professional position which includes a full benefits package. The position is supervised by the Advising Coordinator at Fairhaven College and works closely with the faculty and Dean of the College and other staff positions. Within this collaborative environment, the Curriculum and Records Manager works independently to ensure the integrity of the operational details of the Fairhaven College Curriculum and student records.

About the College/Department: Fairhaven College
Position Responsibilities:
  • Manage curricular activities
    • Attend faculty and Curriculum Committee meetings; draft College Curriculum Committee minutes and submit in timely manner to ACC for approval
    • Participate in the curriculum development process as a member of the Curriculum Committee
    • Coordinate class scheduling process for all programs at the College, including American Cultural Studies and academic minors
    • Maintain accurate and accessible curriculum documentation for the College
    • Manage class and room scheduling for the College; work with central scheduling to acquire teaching space when needed
    • Serve as liaison between the College and University offices involved in planning, scheduling, and records management in support of academic programs, including Registrar’s Office, Extended Ed and Summer Programs, and Academic Coordinating Commission
    • Establish, monitor, and oversee registration process
  • Manage student academic records within the College
    • Support and advise students regarding policies, procedures and registration
    • Work with Advising Coordinator to monitor and report student academic progress
    • Approve, document, and maintain records for major (concentration) filings and academic minors offered by the College — 
    • Maintain central files of current students and alumni
    • Work with Advising Coordinator and Admissions Coordinator to develop and maintain and archive relevant current and alumni academic databases
    • Work with students to prepare graduation applications and complete degree clearance process
    • Oversee faculty credit and narrative assessment reporting and generate reports as needed
    • Oversee credit award, late credit reporting, and grade change processes
  • Manage all curricular documentation and records within the College
    • Complete new course and course revision forms and submit for approval
    • Manage database of Fairhaven course descriptions
    • Prepare and edit College section of annual University course catalog
    • Prepare reports of student concentrations and maintain concentration title database
    • Prepare summer quarter schedule and class description
    • Work with Advising Coordinator to ensure compliance with academic policies
  • Other Duties
    • Collaborate with faculty and staff to plan and implement College events such as graduation ceremonies, orientations and reunions
    • Collaborate with staff to develop academic program promotion materials
    • Advise students on degree requirements, academic progress and University and College registration policies
Required Qualifications:
  • Baccalaureate degree
  • Experience in academic registration
  • Minimum two years of experience with academic information management systems, including construction and use of databases such as Banner Student Records or Access
  • MS Office software proficiency, including strong Excel skills
  • Understanding of and experience with “alternative” academic programs, interdisciplinary programs or student/faculty designed programs
  • Demonstrated experience interpreting and implementing academic policies
  • Experience with curriculum planning
  • Ability to work effectively with diverse faculty, staff, and students
  • Evidence of strong writing, proofreading, and editing skills
  • Ability to troubleshoot a problem through bureaucratic management systems/processes
  • Flexibility and adaptability
Preferred Qualifications:
  • Master’s degree
  • Experience working with students and faculty
  • Experience with on-line records management
  • Experience with narrative academic assessment and/or student portfolios
  • Experience programming customized database queries in Data Warehouse
